Green Forum Sweden is a political foundation on a mission to accelerate the transition to sustainable democratic societies that live and operate within the limits set by nature. As our new Finance Administrator, you will become a central link in our organisation’s operations. This is a broad and varied role where you will work with both ongoing financial administration and administratively support the work of your colleagues, including logistics surrounding events and travel arrangements.

This means that we all take joint responsibility for various tasks at the office and the development of internal processes.
Key Responsibilities
Administrative Support to Secretary General & Board
- Prepare briefing materials, decision documents, and protocols for Board meetings.
- Plan and book travel and accommodation for Board members.
- Manage agendas, summarise decisions, and ensure that action items are followed up.
Finance, Administration and Compliance
- Manage invoices, petty cash, expenses, and monthly reporting.
- Ensure high-quality accounting practices that follow internal routines and donor requirements.
- Work with budget monitoring and financial analysis.
- Develop new routines and update the organisation’s financial manual in response to donor needs.
- Support the organisation with procurement and decision documents.
- Ensure audit recommendations for both Green Forum and Partners are tracked and followed up.
Event Logistics & Project Support
- Support with booking travels, accommodation, venues, catering, and transportation for participants and speakers.
- Collaborate closely with project managers to follow up budgets.
- Other administrative tasks related to the organisation’s work.
Who Are You?
- You have a degree in finance, administration, organisation, office management, or equivalent experience.
- You are proficient with accounting software (e.g., Xledger, Visma) and Excel.
- You have experience providing administrative support.
- You have experience with travel booking and logistics.
- You are meticulous, discreet, and skilled at handling confidential matters.
- You thrive in a role with many different types of tasks.
- Languages: Fluent in Swedish and English (written and spoken).

The position is a 100% project-based role until 31st December 2027 and located in Stockholm, Sweden. Green Forum is a fundraising foundation affiliated with the Green Party in Sweden. At Green Forum, we apply a 35-hour working week (full-time). International travel is part of the job.
